Manage Batches

When punches from a time clock are downloaded and sent to TimeForce II using the ClockLink or ClockServer utility, the punch information is automatically processed into the program database as "batches." If for some reason you would like to un-process the punches that have been downloaded from your clock(s), this can be accomplished by managing the batch containing the downloaded data.

Click on the main "Admin" navigation tab, and then on the "Manage Batches" link located under the  System Tools section of the screen.

Searching for a Batch

The section at the top of the screen allows you to search for batches containing specific data.

  1. The Punch Date fields allow you to search for batches containing punches from a specified range of days. Click on the icon_calendar.jpg icons to select the dates from a calendar.
  2. If you would like to search for batches containing punch data from a specific card number, enter the desired setting into the Card Number field.
  3. The Method Type field allows you to select whether you would like to view punches that have been downloaded from a time clock, or created from within the program using Mass Entry.
  4. In the Process Status field, select whether you would like to view batches that have already been processed, or unprocessed batches only.
  5. Select how you would like the found data to be displayed from the Sort By field.

Click on the [FILTER] icon. Your search results are displayed below.

Managing Batches

Found batches are shown in the bottom section of the screen. The following information is displayed.

  • Start Date: This is the starting date of the first punch contained in the batch.
  • End Date: This is the ending date of the last punch contained in the batch.
  • Type: This setting denotes how the batch was created (downloaded from a time clock, or created using Mass Entry).
  • Unassigned Punches: This field tells you whether or not there are punches in the batch from a card number that is not assigned to an employee profile in the system.
  • Duplicate Records: This field displays the total number of punches in the batch, and number of duplicate entries, if any.
  • Process Status: This field tells you whether or not this batch has been processed into the system database.
  • Action: Click on the "Un-Process" link to un-process the batch. This removes the contained punch data from  the applicable employees' Time Cards. However, the punch batch itself is retained by the system and can be re-processed at any time by clicking on the "Process" link.
  • Click on the icon_delete.jpg icon to permanently remove a punch batch from the system.
