Creating an Export Template

Before you can export your hours and earnings totals from TimeForce II to an external payroll program, you must first create a template for the payroll management software that you are using. This allows TimeForce II to export your data in the format that your payroll program requires.

The steps to creating a template vary depending on the payroll program being used. However, the basic procedures to creating a template are the same regardless of which program you are using.

  1. Click on the main "Close Pay Period" navigation tab at the top of the screen.
  2. Under the Payroll Interface header, click on the [EXPORT TEMPLATES] icon. Each existing and inactive template is displayed. To create a new template, click on the [ADD] icon in the lower left-hand corner of the screen.
  3. Enter a Name for this export template as you would like it to appear in the system.
  4. Select the Payroll Software that you are using from the drop-down menu.
  5. If you would like this to be the default template that is used when exporting, click on the Company Default setting. This default can be changed during the exporting process.
  6. The Saved Filename field allows you to select the file name that the system will use when exporting from this template. Do not specify a file extension.
  7. Depending on the selected payroll software, the Custom Fields section may appear, requiring you to specify certain program-specific export settings. These settings vary depending on the payroll software that you are using.
  8. Before you can specify the types of information that you would like to export, you must click on the [CREATE] icon to save the export template. Once saved, click on the link in the Name column to edit the saved template.
  9. The Types of Employees to Export and Types of Pay Codes to Export sections appear at the bottom of the screen. All Employees and All Pay Codes are selected by default. Remove the check mark to make selections.
  10. Both sections are broken up into the following columns.

    • Hourly
    • Exempt Salary
    • Non-Exempt Salary
    • Base Commission
    • Commission

  11. For each employee type and pay code in the system, select the information that you would like to export by putting a check mark in the appropriate boxes.
  12. Click on the [UPDATE] icon to save the changes that you have made.

Each template that you have created appears on the main Export Templates screen.

  • Click on the link in the Company Default column to assign a template as the default used by the program when exporting. This is a default setting only, and can be changed as a part of the export process.
  • Click on the icon_delete.jpg icon to inactivate a template. Inactive templates are not available for use in the program, but are retained for historical purposes, or later reactivation.
  • The Inactive Export Templates section displays your inactive templates. Click on the "Activate" link to return the template to active use in the system, or on the icon_delete.jpg icon to permanently delete the template.
