Using Department Verification

Once enabled and set up, the Department Verification feature is integrated into the following sections of the program.

Department Verification in Time Cards

A section for Department Verification will appear below the standard verification boxes on the employee’s Time Card.

A verification check box will appear for each department that:

  • The employee had hours and/or disbursements in for the week/pay period, and

  • Is assigned to the supervisor in User Security.

If verified, the name of the user who verified the department hours is displayed along with the date and time of the verification. Supervisors will be allowed read-only access to verification check boxes for departments that are not assigned to them.

Employee punches, absences, hours, and disbursements will be visible and editable to the supervisor if the employee has at least one of these in the supervisor’s assigned departments (including inactive punches). However, only the data that is tied to one of the supervisor’s assigned departments will be shown in the default blue color, the rest of the data will be displayed in grey. This is for quick identification only; the supervisor will still be allowed to modify grey items.

Note: The available employees in the Employee drop-down menu on the main Time Card screen will vary depending on the date range being viewed.

Department Verification in My Screen

With the Department Verification option enabled in System Settings, the “My Screen” section of the program can be configured to display departmental verifications.

Click on the main “My Screen” navigation tab, and then on the [OPTIONS] icon located in the upper right-hand corner of the screen.

Department Verification can be selected to appear in any one of the “My Screen” positions. Be sure to click on the [SAVE] icon to apply the selection that you have made.

Once configured in the My Screen options, the Department Verification section appears.

  • Only employees with data in one of the supervisor’s assigned departments will appear. Employees assigned directly to the supervisor will not be displayed in this section.
  • A summary of each employee’s hours worked and disbursements in each of the supervisor’s assigned departments will be listed.
  • Click on the appropriate check boxes to verify the departments, or click on the [VERIFY ALL] icon.

Department Verification in Reports

A new filtering option has been added to the “Verification Audit” report. With this option selected, the report will include department verification data for each department with hours/punches/disbursements for each employee.

Department Verification in Close Pay Period

On the “Verification” step of the Close Pay Period process, department information will be displayed along with the typical verification information (a detail is available in the mouse-over effect).

The Verified section will display “Not Verified” if either:

  • The employee’s Time Card has a standard verification policy that has not been verified; or
  • The employee has at least one department for which hours have not been verified.
