Creating
Layout Components
Layout Components represent the stages of work
that your jobs as a whole are comprised of. All
components that are performed on a recurrent basis
are created in the system. When a Job Layout is
created, the specific components that apply are
assigned to the layout individually.
Layout Components are created based on the Job
Levels that you have specified in the "Job
Tracking Settings" section of the program.
For example, if equipment/material estimates have
been selected at "Job Level 3" only,
the ability to add these estimates to your layout
will only appear at level 3.
- From the main "Job Tracking"
tab, click on the [JOB LAYOUT] icon under
the Settings
section of the screen, or on the "Job
Layout" link from the row of links located
below the main program navigation tabs.
- The main Job
Layouts screen is comprised of two
sections. The top section of the screen is
Job Layouts. This is where you create your
actual layouts after your components have
been entered. Layout
Components appears in the bottom section
of the screen. Click on the [ADD] icon to
create a new component.
- Enter a Name
for this component as you would like it to
appear in the program.
- Select the desired Job
Level from the drop-down menu. The
screen changes based on the settings specified
for the selected Job Level in "Job Tracking
Settings."
- Enter a Description
for this component.
- Enter an Export
Code. This code is used when transferring
Job Tracking information from TimeForce II
to an external payroll program.
- Use the Department
field to assign this component to a specific
department level. Click on the "No Department"
link and make the desired selection from the
menu that appears.
- If you would like to assign this component
to a Job Group,
make the desired selection from the drop-down
menu.
- If you would like to assign this component
to a Customer,
make the desired selection from the drop-down
menu.
Note:
This option will only appear if it has been
selected in the properties of the Job Level.
- If you would like to assign this component
to a specific Base
Pay Code, make the desired selection
from the drop-down menu.
- Select the Premium
Pay Codes that you would like to assign
to this component, if desired. By default,
all codes are unselected. To assign codes
to the component, highlight the desired codes
in the Unselected
box and click on the
icon. The codes are moved to the Selected
section of the screen.
Note:
This option will only appear if it has been
selected in the properties of the Job Level.
- If "Allowed Tasks" and/or "Allowed
Employees" have been selected in the
properties of the Job Level, the corresponding
fields will appear in the Layout Component.
By default, all tasks and employees can be
used with this component. These settings allow
you to restrict
the tasks and employees that can be used.
Remove the check mark from the Allow
All option to display the selection
windows. All available tasks/employees are
displayed in the Unselected
box. Highlight the tasks or employees that
you would like to assign to the component,
and click on the
icon. The highlighted selections are moved
to the Selected
box.
- If equipment, material, and/or labor estimates
are selected on the Job Level, the Estimates
section will appear on the Layout Component.
Equipment
and Material
figures are entered individually. Select the
piece of equipment or type of material from
the drop-down menu and click on [ADD]. The
Quantity
and Cost
of each can be specified. A Total
is calculated based on your settings. To remove
a figure, click on the
icon.
- When using "Labor" estimates,
you have the option of assigning hours worked
to a Task
in the system. Select the desired task from
the drop-down menu (or select "No Task")
and click on [ADD]. Enter the estimated number
of Hours
and total labor Costs.
A Total
is calculated based on your settings. To remove
an estimate, click on the
icon.
- An estimated Grand
Total is calculated at the bottom of
the screen.
- Click on the [CREATE] icon to save the
Layout Component.
Each Layout Component is listed on the main
Job Layouts
screen. It is these components that will be used
when a layout is created. Click on the icon to inactivate a component.
Inactive components are not used by the system,
but are retained for later use.
