Entering Mass Punches

The following instruction walk you through creating punches on the Time Card of each of the employees specified by the selected Punch Group.

  1. Click on the main "My Screen" navigation tab, and then on the "Mass Entries" link at the top of the screen.
  2. The Mass Groups screen displays each punch group currently in the system. Select the punch group that you would like to create punches for and click on the [PUNCHES] icon located at the bottom of the screen. The Create Mass Punches screen appears.
  3. In the Start Date field, enter the date on which you would like the range of mass punches to begin. Click on the icon_calendar.jpg icon to select the date from a calendar.
  4. Enter the End Date for this punch range. Click on the icon_calendar.jpg icon to select the date from a calendar.
  5. The Punches section of the screen contains multiple columns of information.

    • A maximum of 13 punches can be entered at a time. Any additional punch "rows" that are not needed can be left blank.
    • The Time column is where you enter the punch time. Select "AM" or "PM" from the drop-down menu.
    • Select "In," "Out" or "Auto" from the Mode drop-down menu. With "Auto" selected, the software will automatically determine whether the punch is an "In" or "Out" based on the punch order.
    • The Type column allows you to select whether the punch is a "Normal," "Lunch" or "Break" punch.
    • The Department column allows you to assign the punches to a specific department level. Click on the "No Department" link and make the desired selection from the tree-directory that appears.
    • The Job column allows you to assign the punches to a job. Click on the "No Job" link and make the desired selection from the tree-directory that appears.
    • The Task column allows you to assign the punches to a task. Make the desired selection from the drop-down menu.
    • Click on the "Add Quantity" link in the Quantities column to assign a number of finished pieces to the punch.
    • The Method column is used with Departmental Tracking. An "Override" is used when the employee is clocking into a department other than the default department level specified in their employee profile. A "Transfer" is used when the employee is clocking into a new department level at some point during their shift. An "Out" punch is created for the previous department level, and an "In" punch is created for the new.

  6. The Weekdays setting is used in conjunction with the "Start Date" and "End Date" settings at the top of the screen. If you would like punches to only be created for certain days of the week within the specified punch range, put a check mark in the box for each desired week day.
    Note: This selection automatically populates based on the selected date range.
  7. If you do not want mass punches created for days that are designated in the system as company holidays, put a check mark in the Skip Holidays box.
  8. The Employees section of the screen allows you to further customize the employees that will be included in this Mass Entry. Each employee in the selected Punch Group is displayed in the "Used" selection box. Click on the icon_unassign.jpg and icon_assign.jpg icons to add or remove employees from selection as desired.
  9. Once you have finished specifying mass punch information, click on the [PROCESS] icon located below the employee selection boxes. The punches are added to the employees' Time Cards.
